Three screens under the System heading hold the settings the whole installation shares: Settings, Theme and E-mail Setup. Each addon keeps its own settings separately (see Managing addons), and the website has its own under Website → Website Settings (see The website).
Settings
System → Settings is divided into tabs.
General

| Maximum upload size (MB) | The largest file staff or patients may upload; never more than your PHP settings allow. |
| Patient ID pattern | How patient numbers are built: {Y} year, {y} short year, {M} month, {D} day, {####} the running number. See Patients. |
| Logo, Favicon | The same pictures as on the Theme screen. |
Company & invoice
- Company details — Company name, Phone, E-mail, Website, Address; printed on invoices, receipts, reports and e-mails.
- Document numbering & invoices — Invoice prefix, Dealer code prefix, Ticket prefix, Warranty card prefix, Claim prefix, and the Default invoice terms.
- The printed invoice — the word across the top, logo and its height, the centre's name, address, telephone, e-mail and website (each can be switched off), four header lines, four footer lines, a footer picture and the QR code with What it says underneath. See Invoices.
SMS gateway
Pick your Provider and the boxes change to what that company asks for. Ready-made: RT Communications (rtcom.xyz), BulkSMSBD (bulksmsbd.net), Alpha SMS (sms.net.bd), MIM SMS (mimsms.com), ElitBuzz (elitbuzz-bd.com), Greenweb (greenweb.com.bd), Twilio, MSG91 — or Custom / any HTTP gateway with your own Gateway URL, Request method and Extra parameters. Typical boxes are the API key / token, the Sender ID / mask / approved sender and the Country calling code (88 for Bangladesh). Send a test to your own number before relying on it.
SMS is used for appointment confirmations and reminders, invoices, report-ready notices, campaigns and the patient ID message on registration. The wording of each is under Message templates.
How messages are sent:
- Click-to-chat link — free, nothing to set up — the panel opens WhatsApp with the message typed; a person presses send.
- GREEN-API — free tier, scan a QR code — messages go out by themselves from your own WhatsApp number (Instance id (idInstance), API token instance, API URL).
- Any other HTTP API (Cloud API, a gateway) — an API endpoint and an API token.
Dealer portal
Only with the Dealer Network addon: Let new dealers apply from the public site, New applications must be approved by an admin, Dealers can see central stock levels, Dealers can raise their own invoices.
Support contacts
Support e-mail, Support phone, Support WhatsApp number and Support hours — who your dealers and staff should contact. They are shown to your dealers in the dealer portal.
Theme
System → Theme decides how the panel, the dealer portal, the public website and the printed documents look.
- Colours — Brand colour (buttons, links, highlights), Accent colour (badges and secondary actions), Sidebar colour, Corner radius (px) and a Font stack. Ready-made palettes set all three colours in one click. Keep a Bengali-capable family such as Noto Sans Bengali in the font list.
- Logo & icons — Logo, Footer logo (a light version for the dark footer), Favicon and Sign-in background. A switch decides whether the site name is printed beside the logo — leave it off if your logo already has the name in it.
- Where the theme applies — the public front page and sign-in screens, the admin panel and dealer portal, and printed invoices and warranty cards.
A Live preview shows the saved theme; Save the theme to see your changes there. Reset to defaults brings back the original look.
E-mail Setup
System → E-mail Setup decides how e-mail leaves the server. If mail is not arriving, this is where to look first.

| Host, Port, Username, Password, Encryption | Only for SMTP: your cPanel mail server (port 465 with SSL or 587 with TLS), Gmail/Google Workspace, or any transactional mail service. |
Save first, then Send a test message to your own address.
The Mail queue shows messages waiting or failed, with Retry for one, Retry now for all and Clear delivered to tidy up; the Recent e-mail log lists what went out. The cron job retries failed messages by itself (see Scheduled jobs).
What the system e-mails lists every e-mail the script can send — an invoice, a dealership application received or approved, a new price list, a reply on a support ticket or a website enquiry, confirming an e-mail address, an appointment booked or changed, a report ready to read, a website order, a repair or earmould job moved on, a backup finished or failed, and more — with Go to the templates to change the subject and wording of each, and The HTML shell of every e-mail the system sends for your own header and footer around them.
Data Sync
System → Data Sync is the core of working offline: Enable offline working and synchronisation, Cache the panel so it opens without a connection (installs a service worker that keeps the pages and assets on the device), Sync every (seconds), the registered devices and the recent operations. It is described in Online & Offline Sync.
Who may change settings
Each of these screens has its own permission — Change system settings, Customise theme, logo & icons, Configure e-mail (PHPMail / SMTP), Configure & run data synchronisation — so the front desk can be given the theme without the SMS keys. See Users, roles and permissions.
