Online Lab Reports
On this page
The Online Lab Reports addon lets patients read and download their own test results from your website. You write the report in the panel, or upload the PDF your audiometer or BERA machine produced, check it, and publish it. The patient signs in with their patient ID and mobile number and finds it there.
It is for any centre whose phone rings all afternoon with "Is my report ready?". It also shows which patients have not opened their report yet.
Switching it on
Online Lab Reports is a premium addon, so it has to be in your licence first.
- Buy it with Buy this addon on its card on Admin → Addons. When the order is confirmed, the key comes down by itself at the next licence check; Collect purchases now under License → Addon keys fetches it at once. The addon is normally switched on as it arrives.
- A key you got some other way goes in the Addon key box under License → Addon keys. Paste it and press Add the key.
- If its card on Admin → Addons still says Disabled, press Enable.
The addon starts with seven report types: Pure Tone Audiometry (PTA), Impedance / Tympanometry, Speech Audiometry, OAE, BERA, Hearing Aid Trial and Other.
Where to find it
The sidebar heading Online Lab Reports Addons holds Lab Reports (every report), Write one, Report types and Settings.
The permissions, in the Lab Reports group under Roles & Permissions, are Read lab reports and Write, upload, publish and delete lab reports. A receptionist can look a report up without being able to change or publish it.
Writing a report
Open Write one, or Write a report on the Lab Reports tab of a patient's file.
- Patient: start typing a name, a patient ID or a phone number.
- Which test: picking one fills the findings with that test's usual shape. Edit the list opens Report types.
- What to call it: what the patient sees in their list, for example Pure Tone Audiometry — both ears.
- Test date, and Tested by, printed under the findings.
- What the test showed: a full text editor. Write it for the patient as well as for the next clinician; somebody reading at home has nobody to ask what a word means.
- Or attach the file: a PDF, JPG, PNG or WebP up to the size in the settings. The patient downloads it through their own sign-in; it is never left on an open address. You can later Replace it or tick Remove it.
- Notes for staff: never shown to the patient.
A report can have typed findings, a file, or both.
Save keeps the report as a draft, which the patient cannot see. Save and publish makes it readable at once, after you confirm. Each report gets a number such as LR-2026-00001, the number a patient reads out on the telephone.
When a report is published and Text the patient when a report is published is on, the patient gets the link and their patient ID by SMS, and by e-mail when an address is on file. The panel tells you whether it reached them. The wording is your own; see Communication.
The list of reports
Lab Reports shows each report with the patient, the test date, its status and a Seen column: not opened for a published report nobody has opened (worth a phone call), otherwise how many times it was opened and when last.
Search by report number, patient, ID or phone, and filter by status (Not published yet, Published, Archived) or by test. Each row has Open, and Publish or Take back. Take back returns a report to a draft, and the patient can no longer open it.
When drafts are waiting, the dashboard shows a Reports to publish card.
Report types
Report types holds the choices in Which test. Each type has a Test name, an optional Short code, What the findings start with, an Order and a Status (Active or Off). What the findings start with holds headings and blank lines, not results, for example Right ear:, Left ear:, Impression:; it is used only while the findings box is still empty.
What the patient sees
The reports live at /m/lab-reports on your website.
- The patient opens the page from the link in the message, from your website or from their account.
- They sign in with their Patient ID and Mobile number and press See my reports. With Mobile number only in the settings, the patient ID box is not there.
- They see their published reports, newest first. Each opens as a clean page with your header line, their name and ID, the report number, the test date, the findings, who signed it and your footer line.
- Print prints it; Download the file downloads the attachment.
Repeated wrong sign-ins from one place are slowed down, so nobody can guess their way into another patient's reports.
A patient with an account on your website also finds a Your test reports panel there. You can add a Lab report sign-in band to your home page under Website → Home Page.
Settings
| Setting | What it does |
|---|---|
| Let patients sign in and read their own reports | Off: reports are kept for staff only and the sign-in page is not there at all. |
| What the patient signs in with | Patient ID and mobile number, or Mobile number only (easier, and weaker): anyone who knows the number can then read the reports. Most centres should leave this on the pair. |
| A line at the top of every report | Usually the centre's name and licence number. |
| A line at the bottom of every report | By default: This report is issued for the named patient only. Please bring it with you to your next appointment. |
| Who signs the reports | Printed under the findings. Empty uses the name in Tested by. |
| Largest upload (MB) | 10 by default. |
| Text the patient when a report is published | Sends the link and their patient ID, so they are not left guessing how to open it. |
A typical day
- The audiologist finishes a PTA and chooses Write one.
- The type Pure Tone Audiometry (PTA) fills in the headings; the audiologist types the findings and attaches the audiogram PDF.
- Save. The report waits as a draft until it has been checked.
- The senior audiologist opens Lab Reports, reads it and presses Publish. The patient gets a text.
- Next morning, the front desk filters by Published and rings everybody whose report is not opened.
Tips
- Put the patient ID on the appointment card. It is the first half of their sign-in.
- For reports laid out like your printed forms, with audiograms and your own letterhead, see Online Test Report Creator.
