Without this addon the suite keeps one number per product: how many are in the shop. Inventory & Stock turns that number into a ledger. Every product gets a balance per branch, every change gets a line that says what caused it, and a stock-take writes the difference it found instead of quietly overwriting the figure.
It is for any centre that wants to know where a missing battery box went, what the shelf is worth, and which branch holds the last receiver of a model.
Switching it on
Inventory & Stock is a premium addon, so it has to be in your licence first.
- Buy it with Buy this addon on its card on Admin → Addons. When the order is confirmed, the key comes down by itself at the next licence check; Collect purchases now under License → Addon keys fetches it at once. The addon is normally switched on as it arrives.
- A key you got some other way goes in the Addon key box under License → Addon keys. Paste it and press Add the key.
- If its card on Admin → Addons still says Disabled, press Enable.
The first time it is switched on, the addon copies the stock figure of every product into the ledger as an Opening balance, so the first report is not a page of zeros.
Where to find it
The sidebar heading Inventory & Stock Addons holds Stock, Movements, Adjust Stock, Transfer and Settings.
The permissions, in the Inventory group under Roles & Permissions, are See stock balances and movements, Adjust stock and run a stock-take and Move stock between branches. A counter assistant can see the stock without being able to change it.
Stock
The Stock screen lists every product with its brand, the quantity In stock, the Cost of one unit and the Value of what is there. Above the list are three figures: units on the shelf, value at cost and how many products are running low.
You can narrow the list by product, model or SKU, by brand, and (with more than one branch) by branch. Tick Only what is running low to see just the products at or below their low-stock mark.
A product is "running low" when it has a Low-stock alert at figure on its product page under Catalogue → Products and its quantity has reached that figure. It gets a low badge; zero or below shows in red. History beside a product opens its movements. The cost is the average cost of what was received, or the catalogue purchase price.
Movements
Movements is the full record. Each line shows when it happened, the product, what happened, the change (green for in, red for out), the unit cost, the reference number and who did it. Filter by product, reference or note, by type of movement, and by date.
| Movement | Written by |
|---|---|
| Purchased | Goods received through Purchase & Suppliers. |
| Sold | A sale at the till or an online order, see E-Commerce & POS. |
| Returned | Stock that came back from a customer. |
| Received | Stock added under Adjust Stock without a purchase order. |
| Adjusted | A correction, or a difference found by a stock-take. |
| Damaged | Stock written off under Adjust Stock. |
| Warranty replacement | Stock used to replace a unit under warranty, entered under Adjust Stock. |
| Transferred in, Transferred out | A transfer between branches. |
| Opening balance | The figure that was there when the addon was switched on. |
Nothing is deleted from this list. If a figure is wrong, you correct it with a new adjustment, and both lines stay.
Adjust Stock
The top card, Adjust one product, changes one product at a time:
- Product, then In or out: Add to stock or Take out of stock.
- Quantity.
- Reason: Correction, Received without a purchase order, Damaged or written off, Returned by a customer or Used for a warranty replacement.
- Unit cost (optional), and the Branch when you have more than one.
- Why: a short note that is written on the movement, so the change can be explained later.
Press Apply the adjustment. The message tells you what the stock stands at now.
Running a stock-take
- On Adjust Stock, press Run a stock-take.
- Pick the branch first if you have several. Use Narrow the list to show one shelf or one brand at a time.
- For each product, the System says column shows what the panel expects. Type what you actually counted in Counted.
- Leave a box empty if you did not count that product. An empty box is not zero; it is left alone.
- Add a Note on this count if you like, and press Record the count.
Only the differences are written, as adjustments with a note such as Stock-take: counted 4, system said 6. The message afterwards tells you how many products were counted, how many differed and how much the stock value changed.
Transfer
Transfer moves stock between branches. It needs the Multi-Branch addon and at least two branches; with one branch it simply says Only one branch and offers Open Branches.
- Choose From and To (they must be different branches).
- Write a Note if it helps, for example who carried the box.
- Under What is going, choose a Product and a Quantity. + Another product adds a line.
- Press Send it.
Each line becomes two movements: Transferred out at the sending branch and Transferred in at the receiving one, both with the same reference, such as TRF-20261015-143005. The total for the business does not change; only where the stock sits does. Recent transfers below the form lists the last fifteen.
Settings
| Setting | What it does |
|---|---|
| Allow a sale that takes stock below zero | On by default. Leave it on unless your stock figures are already trustworthy: refusing a real sale because of a paperwork gap is worse than a negative balance. |
| Warn on the dashboard when stock runs low | Shows a Running low card on the dashboard with the number of products at or below their mark. |
| Value stock at | Average cost or Last purchase price. |
With stock on the shelf, the dashboard also shows a Stock value card, at cost.
Tips
- Set Low-stock alert at on the products you must never run out of: batteries, domes, wax guards and your best-selling model.
- Do a stock-take shelf by shelf with Narrow the list. You do not have to count everything in one go.
- Receive goods through Purchase & Suppliers rather than adjusting by hand. Then the cost is right and the movement points to the supplier's bill.
