The Events plugin lets members plan things that happen at a time and a place: a meetup, a wedding, a concert, a class, an online talk. Guests say Going or Interested, invite their friends, add the event to their calendar and talk about it on the event's own wall.
What members get
- The events list at
/events(also in the side menu) with the tabs Upcoming, This week, Your events (the ones they host, go to or are interested in) and Past, a search, a category filter, and a month calendar. Days with events carry a dot; a click on a day lists that day. - Create → Event, or
/events/create(the host counts as Going from the start):- Event name, a cover photo and its position, Details;
- Starts (date and time) and Ends (optional);
- Place and Address, and/or an Online link. One of place or link is needed;
- Category and Who can see it.
- The event page: the cover, date and time, place with Open in Google Maps, host, the number going and interested with a few faces, and the tabs Discussion, About and Guests.
- Going / Interested buttons; pressing the chosen one again takes the answer back.
- Invite opens the member's friends with a search box; up to 50 can be picked at once.
- Add to calendar: Google Calendar, or a Calendar file (.ics) for Apple, Outlook and others.
- Share: Copy link, and for public events Share on your timeline, Facebook and WhatsApp.
- Report event in the ⋯ menu.
Members type the times in their own time zone; the form says which one it is. Every member then sees the event in the time zone of their own settings, and visitors in the site's.
Who sees an event
| Who can see it | Who can open it |
|---|---|
| Public | Everyone (members only when the whole site is private). |
| Friends | The host's friends, and everyone who was invited or has answered. |
| Private | Only the people the host invites. |
Only the host can invite people to a private event; on the other two every member who can open the event may invite their friends. Members who blocked each other never see each other's events.
Events appear in the site search under an Events tab; public ones also go into the sitemap.
The discussion wall
Every event has its own wall on the Discussion tab: questions, directions, photos afterwards. Posts on a friends or private event stay inside the event; posts on a public event can be seen like any public post. Members who are going or interested also find the event's new posts in their home feed. The host can delete any post on the wall.
Nothing more can be posted on a cancelled event.
The host's tools
- Edit event changes everything except the address of the event page, so invitations and shared links keep working. When the time or the place changes, everyone going or interested gets a notification and the reminder is sent again for the new time.
- Cancel event keeps the page but marks it Cancelled; going, interested and invited people are told. Bring the event back undoes it.
- Delete event removes the event with its posts. If it had not happened yet, the people going or interested are told it was cancelled.
- Guests shows who is going, who is interested and, for the host, who was invited and has not answered yet. Someone who was invited and then backs out is kept as Declined in the invite list, so they are not invited again by mistake.
The host gets a notification each time someone says Going or Interested for the first time. Site admins and moderators can edit, cancel or delete any event.
Reminders
With Remind the guests on, everyone going or interested gets a notification a set number of hours before the event starts. The cron job Event reminders sends them; it runs every 30 minutes, so it needs a working cron line (see Scheduled jobs).
Settings
Admin → Plugin pages → Event settings.
| Setting | What it does |
|---|---|
| Who can create an event | Every member, Verified members only or Admins and moderators only. |
| Events on one page of the list | 4 to 60; 12 by default. |
| The calendar week starts on | Sunday, Monday or Saturday. |
| Remind the guests | Switches the reminders on or off. |
| Hours before the start | 1 to 168; 24 by default. |
Categories: twelve to start with (Music, Sports, Food & drink, Education, Business, Technology, Health, Religion, Arts & culture, Community, Family, Other). Rename one and its events move along with it; add your own; delete one and its events simply have no category.
A member can create at most 20 events a day and send 100 invitations an hour.
Looking after events
Admin → Plugin pages → Events lists every event with its host, time, privacy, guests and status, with the tabs All, Upcoming, Cancelled and Hidden and a search box. Events that are over carry an Over mark.
- Hide takes an event off the site for everyone but its host and the moderators; its posts go private. The host is told. Unhide brings it back.
- Delete removes the event with all its posts.
Reports on events arrive on Admin → Reports.
Coming from WoWonder
When the WoWonder Migration plugin runs, the Events step brings over every WoWonder event with its cover, place, times, and the people going, interested and invited, and gives the old event posts back to their event. Old links with the WoWonder event number still open the right event. See Moving from WoWonder.
Tip
For an online event put the meeting link in Online link and leave the place empty; the page then says Online event.
