This addon gives every dealer and sub-dealer a repair book of their own. A customer walks into the dealer's shop with a hearing aid; the dealer books it, follows it, charges for it and hands it back, under the dealer's own name. Head office is not in the middle: these jobs are not listed in the admin panel, and no dealer sees another dealer's work.

To send an aid to head office's lab instead, a dealer uses Send a Repair, which comes with Hearing Aid Repair - Lab. Moulds and shells for a dealer's own customers are Earmould / Earshell - Dealer.

Switching it on

A premium addon, sold separately; it is not included with the Lab addon. It runs when your licence package carries repair-dealer or its addon key is on Admin → License. Then press Enable on its card on Admin → Addons (The licence key and addon keys).

Nothing is added to the admin sidebar. In the dealer portal, every dealer and sub-dealer gets Repairs, Book Repair and My Branding under More, and a Repairs in hand card on their dashboard while jobs are open.

Booking and running a repair

Dealer portal → Book Repair. Customer name is required, and a Mobile or an E-mail; then the device (Brand, Model, Serial number, Ear side, warranty and purchase details, What is wrong), Estimated cost, Advance taken, Show the estimate on the tracking page, Priority and an Internal note only the dealer sees. Both ears get their own model, serial and fault. Extra fields head office added on Repair Setup appear too.

With Dealer Customers switched on, Your customer lists the dealer's own customers; picking one fills in the name, mobile and e-mail.

The dealer owns the job outright: Edit at any time, Move it on (Booked, Received, Diagnosing, Sent to lab, Repairing, Ready, Delivered, Cancelled), Charges with the final charge, what was received and an Outside lab section for an aid the dealer sends to a service centre, notes on the timeline (tick Internal only to keep one off the customer's page), WhatsApp, E-mail an update and Delete this repair. Repairs lists them with search, status chips and what is still owed.

Head office decides on Admin → Addons → Settings for this addon whether the customer is e-mailed when a repair is booked and on every status change. Both are on at the start.

Numbering

A dealer's repairs take the repair prefix from Repair Setup with a D added: AHR-2026D01, AHR-2026D02, so they never collide with the lab's AHR-202601. The D series is shared by all dealers, so one dealer's numbers can skip. Without the Lab addon there is no Repair Setup and the prefix stays AHR-{Y}.

This version does not use two boxes on this addon's Settings: Tracking number prefix (RPD-{Y}) and Dealers can pass a repair on to the lab.

My Branding

Dealer portal → My Branding decides what the dealer's own customers see on the slip, the tracking page, the WhatsApp message and the e-mail. Work sent to the lab keeps head office's name.

  • Shop name, Phone shown to customers, E-mail shown to customers, Logo (with Remove), Address and Note printed on your slips. An empty box falls back to the dealer's own record, and an empty note to head office's slip note.

How it looks previews the latest job's header and its link. What the tracking page shows follows head office's Repair Setup. The same page sits in Earmould / Earshell - Dealer; one set of settings covers both. The small credit line at the foot of the tracking page is the site's own (Footer Branding).

  • Private link - a one-off code instead of the job number (on at the start). The link reads track.php?t= and a 32-character code. When the job is Delivered, the code forwards to the ordinary link.
  • Ordinary link with the job number still works (on at the start). Untick it and track.php?id=AHR-2026D01 shows a stranger nothing; only the code works, and it keeps working after delivery. Signed-in users still get through. Both cannot be off at once.
  • Your own domain (optional), for example track.myshop.com. It is used only with the private link on.

Setting up your own domain takes three steps, spelled out under How to set your own domain up:

  1. At your domain registrar, add a CNAME for the name pointing at this system's address (shown with Copy), or an A record to the server's IP, which head office can give you.
  2. Head office attaches the domain to this same installation (on cPanel, Domains → Create a New Domain with this site's folder as the document root) and adds it to the SSL certificate.
  3. Type it in, press Save, then Check my domain. The answer says which step is still missing.

Signing in to the portal stays on the usual address.

Service offers Do not shorten, AmarURL, Bitly, Short.io, YOURLS, Cutt.ly, is.gd and Another service. Choosing one fills in Endpoint, Method, Sends the link as, Key travels as, Called, Link field name and Short link is returned in; add the API key / token and any extras the service asks for under Anything else it needs (one name=value per line). Save, then Test the shortener: it makes a real call and shows the answer.

Each job's tracking link is shortened once, the first time it is needed, and kept. The short link goes on the slip, in its QR code and in the messages. If the service is down, the full link is used.

Tips

  • Fill in Shop name and Logo before the first booking: the slip is the first thing the customer takes home.
  • Keep the private link on if customers should not see the job number in the address.
